Overview

A unified workspace for agencies, studios, and founders juggling many client projects - project management, white-labeled client portals, billing, and live business intelligence in one place.

The Challenge

Teams that run client work for a living lose the plot to fragmentation. The status of any given project is smeared across Slack threads, spreadsheets, a project management tool, a separate billing system, and someone's memory. To reconcile it all, teams fall back on status meetings and constant context-switching - both of which quietly eat hours every week and erode margins. There was no single source of truth that connected the work, the client, the team's time, and the money in one calm place.

What We Built

We built SyncHQ as a unified operating system for client work, designed around three promises: one source of truth, async by default, and forecasts you can trust. Project management supports sprints, dependencies, and kanban, list, and timeline views. White-labeled client portals send automatic digests so clients stay informed without a single status call, and AI-powered intake gets a new client fully onboarded in under five minutes. Team management and time tracking feed directly into billing and revenue operations, where invoices are generated automatically from logged hours and milestones. Live BI dashboards surface revenue, utilization, and on-time delivery, and a GraphQL API plus webhooks tie SyncHQ into Figma, Linear, GitHub, and Slack. The whole platform is secured with TLS 1.3, AES-256 encryption, and SSO through Google and Okta.

How We Built It
01 · Discovery

Finding the one screen that was missing

An agency's real state lives in five tools and nobody can see it at once. We shadowed delivery managers for a week and found the question they could never answer quickly: which projects are actually at risk right now. That became the product.

02 · Architecture

The data model was the hard part

Deciding what a project, an allocation and an hour mean across systems that each define them differently took longer than building the dashboard. Once that vocabulary was settled the interface was almost a consequence of it.

03 · Delivery

A cache that keeps proving itself

Aggregated state goes stale silently, which is the worst failure mode for a tool people trust. Webhooks push changes the moment they happen and a scheduled reconciliation sweep re-checks against the source, so drift is caught by the system rather than by a user noticing.
